TRAVEL & ACCOMMODATION

Waterloo Global Science Initiative will cover the cost of travel, accommodation, meals and registration for all invited Forum members attending the Equinox Summit: Energy 2030. Please review all information below for making arrangements for your travel to the Summit.

FLIGHT ARRANGEMENTS

Participants are responsible for coordinating a flight if this is necessary for their attendance. We ask that you book economy flights at least one month in advance to arrive at Toronto's Pearson International Airport (YYZ) or Kitchener Airport (YKF).Flights should arrive by Friday, June 3rd at 2:00 pm and depart the morning of Friday, June 10th.

Note: International participants may plan to arrive one day earlier on Thursday, June 2nd.

Note: International participants may book flights through the conference travel agent listed above, or book their own flights and will be reimbursed for a return economy flight from their home airport to Toronto's Pearson International Airport (Airport Code YYZ). If you are making your own flight arrangements, your itinerary must be approved by WGSI before booking.

The Equinox Summit will not cover the cost of flights outside of the event dates.

After receiving your travel plan, the organizers will confirm all the ground transportation to and from the airport to the St. Jacobs Country Inn for all participants arriving by plane.

TRAVEL BY CAR, BUS, TRAIN

If you are within driving distance to Waterloo (i.e. 500 km or less) Equinox Summit will reimburse participants for round trip mileage at $0.45 per kilometer. If you are travelling by bus or train within Ontario, Equinox Summit will reimburse you for the cost of the round trip bus or train fare. Please arrange for your bus or train to arrive at the Kitchener Terminal (Victoria Street) or Bus Station (Charles Street) on Friday, June 3rd between 9:00 am and 2:00 pm.

Once your travel plan is confirmed, please forward your travel itinerary to [email protected] to arrange for your ground transportation.

Private shuttle bus service will be provided for participants to Perimeter Institute each morning for conference sessions and will return to St. Jacobs in the evening.

MEALS

Waterloo Global Science Initiative will cover all meal expenses for participants during the conference. Breakfast, lunch, snacks and dinner will be provided at Perimeter Institute. Non-alcoholic refreshments will be included.

Please be sure to forward all information pertaining to special dietary restrictions, allergies and medical conditions to the organizers at least two weeks prior to the event at [email protected].

We will need to know if you are allergic to nuts, lactose intolerant or have eating preferences such as vegetarian, etc. We must have this information on file before you arrive so we may make accommodations with our bistro staff in advance. We will do our best to ensure your needs are taken care of, but please do not hesitate to ask if you require something further or if what we are providing is not meeting your standards.
